Glassboro Public Schools is seeking qualified candidates in the capacity of a 12-month School Secretary. This position is responsible for, but not limited to the following duties:
QUALIFICATIONS: High School Diploma or equivalent. Minimum of two years of successful experience in a related secretarial or office position or be a graduate of a recognized program of secretarial studies. Proficient in the use of Microsoft Office or an equivalent computer program, posses the technological ability to quickly advance in a new software as needed. Bilingual (Spanish/English) Preferred.
REPORTS TO: School Principal
JOB GOAL/MAJOR FUNCTIONS:
In conjunction with greeting students, parents and other staff members, the school secretary is responsible for providing information, maintaining records of students, scheduling appointments, answering phones, and providing administrative support to the Principal, Teachers and School Officials.
- Organize and maintain an efficient and effective office to the Principal that handles a variety of tasks for the administration, faculty, students, and parents of the school.
- Perform secretarial and clerical tasks of a varied nature. Many tasks will require a thorough knowledge of the rules and regulations of the school and school system and the frequent exercise of independent judgement within the scope of the authority granted by the Principal.
- Distribute mail and handle correspondence of the office, responding to routine requests for information, and transcribing, word processing, and proofing letters and responses.
- Type, reproduce and distribute notices to staff, students, and parents.
- Maintain attendance data for each staff member, recording attendance, absences, substitutes, and other required information. Prepare attendance reports and submit to Human Resources.
- Maintain efficient and well organized electronic and paper data collection and filing systems, including confidential student and personnel files.
- Order and maintain office supplies and maintain inventories of books, materials, and equipment of the school.
- Assist the Principal or designee and staff in handling interruptions and emergencies and calling for assistance when needed.
- Attend required staff meetings and serve, as appropriate on staff committees.
- Protect confidentiality of records and information about students and staff, and use discretion when sharing any such information within legal confines.
- Perform other duties which may be within the scope of employment as may be assigned.
- Translate as needed.
- Able to provide Summer school coverage in the District as needed.
TERMS OF EMPLOYMENT:
This is a twelve (12) month position with salary and work year to be established by the Board of Education.
EVALUATION:
Performance in this position will be evaluated annually in accordance with provisions of the Board’s policy on evaluation of personnel.
