The School Business Administrator/Board Secretary is responsible for overseeing the financial management of the school district, ensuring all fiscal activities are conducted in accordance with accounting principles, Board policies, applicable laws, and regulations.
This role ensures that all financial and support services are managed efficiently, transparently, and in alignment with the district’s educational goals and priorities, while maximizing the use of available resources to support student success.
?? Key Responsibilities:
? Drive the district’s financial strategy by leading budget development, managing fiscal operations, overseeing payroll, purchasing, and investments, and ensuring compliance with all laws, policies, and standards.
? Oversee accounts payable/receivable, financial reporting, banking, and insurance programs, safeguarding district assets and fiscal health.
? Coordinate preparation of monthly, quarterly, and annual financial reports; manage the annual audit process to ensure transparency and accountability.
? Champion efficient district operations by supervising facilities, food services, transportation, safety initiatives, and long-term capital projects focused on sustainability.
? Drive strategic planning for facility upgrades, construction projects, and health and safety compliance in collaboration with district leadership.
? Manage Board of Education operations, including meeting logistics, official records, elections, ethics reporting, and governance compliance.
? Develop and maintain systems for robust record-keeping, contract management, and public document retention, ensuring organizational transparency and legal compliance.
? Support staff operations by managing salary structures, benefits programs, and payroll administration in partnership with the Superintendent.
? Ensure compliance with regulatory requirements, including ethics disclosures, mandated staff trainings, and reporting to state and county offices.
? Represent the district at external meetings, conferences, and professional associations, staying informed on educational finance and operational best practices.
? Innovate business and operational practices to maximize efficiency, accountability, and stewardship of district resources for the benefit of students, staff, and the broader community.
? Perform such other duties as may be prescribed by law or assigned by the superintendent or the board.
