GLOUCESTER TOWNSHIP PUBLIC SCHOOLS JOB DESCRIPTION

TITLE:          
ASSISTANT SCHOOL BUSINESS ADMINISTRATOR                       

QUALIFICATIONS:
Experience in a School Business Office required.  Must have appropriate NJ certification, experience in all phases of GAAP for schools, budget preparation, computer literacy and facilities management.

REPORTS TO:       
School Business Administrator

PERFORMANCE RESPONSIBILITIES:

  1. Serve the district in the absence of the School Business Administrator.
  1. Assist the School Business Administrator in the preparation of the school budget.
  1. Maintain a complete and systematic set of records of all financial transactions of the district.
  1. Record details of school financial transactions in appropriate journals and subsidiary ledgers from such sources as requisitions, payroll records, etc.
  1. Prepare, analyze and reconcile monthly financial reports to reflect the financial condition of the district. (e.g. Board Secretary Report, Cash Report, etc.)
  1. Record cash receipts and prepare all cash reconciliations.
  1. Review miscellaneous vendor reports and year-end tax filings. (i.e. 1099, 1096).
  1. Review quarterly and annual payroll reports and tax filings.
  1. Facilitate the Non Public Entitlement Grants, coordinate with the Non Public Schools and file all reports associated with the grants per regulations.
  1. Facilitate all Federal Grants, including coordinating with the Department of Instruction and the Special Services Department. File all reports associated with the grants per regulations, including, but not limited to, monthly reimbursement requests and final reports.
  1. Initiate all bank transfers, including bi-weekly payroll transfers, interfunds, debt payments, etc.

 12.  Assist auditors by providing various documentation and supporting schedules to financial reports.

 13.  Review monthly reimbursement requests and other financial reports prepared by the Food Service Department.

  1. Verify and process payment of invoices for internal service funds. Determine amount of reimbursements due to/from Board of Education, student activities, and the cafeteria.
  1. Assist the School Business Administrator with the supervision of the Accounts Payable, Payroll and Purchasing Departments.

  16.  Liaison with district employees for the requisition system as well as the purchasing system.

  1. Monitor debt service and lease agreement schedules.
  1. Perform all other duties as assigned.

COMPENSATION:             

Commensurate with districts of the same size and similar responsibilities.

TERMS OF EMPLOYMENT:   
12 Months

 VACATION:                        
As per Supervisors and Principals Contract.

EVALUATION:                   
Performance of this job will be evaluated annually by the School Business Administrator.
