Position Overview

Oak Knoll School of the Holy Child in Summit, New Jersey has an August 2026 opening for the position of Lower School Administrative Assistant to the Lower School Division Head. This is a full-time, 12-month position with daily hours of 7:30 a.m. to 4:00 p.m. (summer hours may vary). 

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced school environment. They must demonstrate sound judgment, maintain strict confidentiality, and bring a warm, welcoming presence when working with students, families, faculty, and visitors.

The Lower School Administrative Assistant to the Division Head serves as the central hub of the Lower School, supporting daily operations across the PreK–Grade 6 division while providing high-level administrative support to the Division Head. This role requires a patient, pleasant, and proactive self-starter who genuinely enjoys working with children and completing a wide range of school-related administrative tasks.

Proficiency in Word, Excel, and Google Docs is required. The successful candidate will actively support the mission of Oak Knoll School of the Holy Child each day and remain calm, flexible, and professional under pressure.

Key Responsibilities

  • Serve as the first point of contact for students, families, faculty, and visitors, ensuring a warm, professional, and welcoming Lower School office

  • Support daily school operations, including phones, correspondence, attendance, student records, mail, supplies, and dismissal coordination

  • Provide high-level administrative support to the Division Head, including calendar management, scheduling, meeting logistics, and document preparation
  • Maintain organized and confidential digital and physical files, records, and office systems


  • Assist with budgeting and basic bookkeeping tasks, including tracking accounts, purchase orders, and credit card reconciliation

  • Support internal communications, including faculty/staff updates, newsletters, and family correspondence

  • Coordinate logistics for meetings, events, assemblies, and special programs

  • Support faculty and staff with copies, materials, scheduling, and onboarding needs

  • Assist with substitute scheduling and faculty attendance records

  • Uphold school safety procedures, emergency protocols, and a positive, student-centered school climate

Qualifications

  • Prior administrative or school office experience preferred

  • Exceptional organizational and multitasking skills

  • Strong interpersonal, communication, and customer-service abilities

  • Professional judgment, discretion, and commitment to confidentiality

  • Calm, flexible, and solution-oriented under pressure

  • High integrity and demonstrated initiative

  • Proficiency in Word, Excel, and Google Workspace

 

EDUCATION & EXPERIENCE:

Bachelors Degree

Previous experience working in a school is preferred but not required.

Compensation & Application

Salary range of $55,000-$70,000 is competitive and commensurate with experience; benefits include medical, dental, and vision insurance, retirement contributions and tuition remission.
