Assistant Payroll Administrator


JOB GOAL: To Assist Payroll Administrator with all tasks related to payroll



  • Two years of college preferred 
  • 1 to 3 years of payroll experience preferred
  • Knowledge of financial management software applications
  • Strong math background with proven record of accuracy
  • Strong communication skills and ability to work cooperatively with others
  • Strong organizational skills
  • Ability to maintain confidentiality
  • Required criminal history background check and proof of US citizenship or legal resident alien status

REPORTS TO: Business Administrator or Designee



    Assist Payroll Administrator to ensure the following:

  1. Set up and maintain electronic and paper payroll files for all staff
  2. Meet various payroll schedules, including collection of time sheets, input of data and adjustments
  3. Reconcile totals for each payroll 
  4. Run and print all payroll related reports 
  5. Print paychecks and upload to Payroll Portal
  6. Create ACH (direct deposit) files for each payroll and upload to bank in timely manner. 
  7. Pay all payroll taxes (state, federal, FICA, Medicare in NJ & PA)
  8. Quarterly tax filings as required
  9. Process agency payments 
  10. Calculate Payroll, Agency and Summer Pay amounts
  11. Distribution of pay checks to all departments/schools
  12. Distribution of all monies in agency account
  13. Completion of government forms requesting payroll information, i.e., housing, welfare, etc.
  14. Completion of all unemployment forms and requests for payroll information
  15. Distribution of W2’s
  16. Perform other duties as required/assigned


Salary Range: $34,000 to $36,000 Annually
