Description Confidential Executive Assistant to the Superintendent

Hasbrouck Heights School District is seeking a polished, high-level assistant to the superintendent of schools. 

Qualifications:     
  • Minimum BA degree
  • Five or more years experience in high-level executive support and office management
  • Ability to demonstrate the capacity for extensive independent decision-making and handle multiple complex tasks
  • Strong organizational and computer skills
  • Proficient knowledge of all current standard office procedures and use of equipment
  • Detail oriented with knowledge of all aspects of verbal and written communication, including spelling, grammar and punctuation
  • Ability to assume a leadership role in directing the activities of other secretarial staff and making decisions concerning office operations
  • Ability to communicate clearly and effectively with the public, staff and board members
  • Ability to function as part of a cohesive secretarial team by assuming varied responsibilities in differing and often demanding circumstances
Responsibilities
  • Maintain complete confidentiality in all matters
  • Prepare correspondence, maintain calendar of appointments, interviews and meetings   for the superintendent, channel and screen all communications
  • Prepare Board of Education correspondence as directed
  • Compile data and prepare confidential memos for collective negotiations
  • Serve as district notary
  • Serve as liaison between the HHSD and the Bergen County Executive Superintendent’s office
  • Compile and submit in a timely fashion all annual state and federal reports including:
  • School Safety Data System (SSDS) Incidents/Trainings/Programs
  • NJSMASRT Staff report (SMID)
  • School Register Summary
  • HIB Self-assessment for Determining Grades
  • Federal Civil Rights Report
  • MOA between law enforcement and school district
  • Annual Survey of Children in Institutions for Neglected and Delinquent Children
  • Certify district and school data (CDS)
  • LEA Checklist for Virtual or Remote Instruction Program
  • Submit Annual and Biannual Statement of Assurance (SOA) regarding:
  • Comprehensive Equity Plan
  • Use of paraprofessionals
  • HS Voter Registration Laws
  • School Safety and Security Plan
  • School security drills
  • Maintain course credit approval
  • Compile annual salary guide movement list
  • Maintain staff certifications; enter new staff into Provisional Program; assist staff in obtaining state certification
  • Maintain current salary records of all personnel
  • Maintain current and accurate charts of teacher assignments
  • Maintain strict confidentiality relating to all student and district personnel information
  • Assists in the development of the District-wide School Calendar and provides notification of district schedule to proper agencies
  • Maintains and updates Board Policy Manuals
  • Maintains and updates Hasbrouck Heights Education Association negotiated agreement
  • Maintains and updates Administrators and Supervisors negotiated contract
  • Serves as in-person and phone receptionist having contact with the superintendent
  • Other responsibilities and duties appropriate and necessary to the position as directed by the superintendent
Terms of Employment:  Twelve-month position with compensation as per negotiated agreement with the superintendent
